FAQ
US Invoicing FAQ
Generally no for services. Most US states exempt professional services (consulting, design, software development, legal, accounting) from sales tax. Sales tax primarily applies to tangible goods and some digital products. Check your specific state's rules — a few states like Hawaii (GET), New Mexico (GRT), and South Dakota tax services broadly. When in doubt, consult a local CPA.
An EIN (Employer Identification Number) is a 9-digit tax ID issued by the IRS (format: XX-XXXXXXX). Sole proprietors can use their SSN instead, but an EIN adds professionalism and protects your SSN. Including your EIN on invoices is optional but recommended for LLCs and corporations. The USA preset in InvoiNova pre-fills an EIN custom field — enter your number once and it carries to every PDF.
Net 30 is the most common US payment term — full payment due 30 days from invoice date. Net 15 is standard for smaller projects or newer client relationships. Freelancers often use due-on-receipt (immediate) or Net 14. Some contractors offer a 2/10 Net 30 discount (2% off if paid within 10 days). Always specify the due date explicitly on the invoice to avoid disputes.
As a sole proprietor, you can invoice under your own name — no business entity required. Include your full name, address, and either your SSN (avoid on invoices) or EIN. Clients paying you $600 or more in a year will send a 1099-NEC; your invoice documents the services provided. Use InvoiNova's USA preset to get USD currency, Net 30 terms, and an EIN field pre-configured out of the box.
The US has no federal invoicing law, but a complete invoice should include: your business name and address, client name and address, invoice number, invoice date and due date, itemized list of services or products, per-item rate and quantity, subtotal, any applicable sales tax (with state/rate noted), and total amount due. Adding your EIN or SSN, payment instructions, and late fee policy is strongly recommended.
If you sell physical goods, you must collect sales tax in states where you have nexus (physical presence or economic nexus above a revenue threshold — typically $100,000 or 200 transactions). Use InvoiNova's state selector to apply the correct base rate. Note that local city/county taxes may add 0.5–3% on top of the state rate. For multi-state businesses, consider tax automation software (Avalara, TaxJar) and register with each state's revenue department.
